The Grade Advancement procedure in eSD® provides the user with the tools to complete the yearly Graduation and Promotion process. This process should be utilized after the end of the school year for ALL students, regardless of whether the students are being retained/advanced
in the same/another building. The only exceptions are students transferring out of the district, who should be manually updated.
The Grade Advancement process automatically ends all of the students’ open class enrollment records with a date of 6/30/20xx, with the exception of Graduation/Reached Highest Grade within District and Summer School Closeout, when users specify the End Date. Students’ bus and locker assignments are NOT impacted by the Grade Advancement process.
If the student is transferring out of the building, previous assignments will be deleted.
eSchoolData’s Grade Advancement process is handled by Grade Advancement Type (retained, advanced, graduated, etc.), and can be run at the district level and/or the building level. District-level Grade Advancement affects ALL students in the selected building(s) who have the selected Grade Advancement Type. Building-level Grade Advancement allows for additional filtering of students within the selected Grade Advancement Type, including the use of Student Groups.
Students’ Grade Advancement Type is determined by their assigned Scheduling School and
Scheduling Grade. Students in the district’s highest grade level are typically not assigned a Scheduling School and Scheduling Grade. For these students, the Grade Advancement Type will be Graduation (districts with Grade 12) or Reached Highest Grade within District (districts without Grade 12).
The steps involved in preparing and running Grade Advancement are:

- Verify students’ Scheduling School and Scheduling Grade assignments
- Review Feeder Patterns (ensure that each building has one)
- Apply Feeder Patterns (all students, or students missing Scheduling School/Grade)
- Identify Feeder Pattern exceptions (assign appropriate Scheduling School/Grade)
- Assign Post-Graduate Plan, Career Path and Credential Type (Grade 12 students)
- Confirm Summer School assignments
- Run End-of-Year Reports
- Confirm Archive Database has been created
Grade Advancement
- Run Grade Advancement (district-wide or by building)
