Without a doubt, de-centralization of data-entry responsibilities means that data is entered and processed much more quickly. However, it is critical to guarantee the integrity of that data, so some form of centralized oversight is required.
The follow reports are useful to districts that employ a formal centralized review process:
Registration > Households
Check Show Similar Households Only and select Search. Export the results to Excel by selecting the Excel icon to the top right of the page. If there are multiple families living at a single address (and that address is not a multi-family dwelling), this report can be used as the basis for launching a proof-of-residency investigation.
Registration > Students
Enter the date range for the entire month. Review all students who have entered the district.
Registration > Transferred Students
Enter the same date range. Review all students who have left the district.
Reports > Attendance > AT6
Enter the same date range. Review all the ADA (Average Daily Attendance) and WADA (Weighted Average Daily Attendance) for the month. If any of the figures are suspect, district registration procedures should be reviewed.
Reports > Enrollment > Enrollment Reports
Review Enrollment Reports by Grade, by Gender, and by Special Ed designation.
Reports > Enrollment > Enrollment Exceptions
The Enrollment Exception Report should be reviewed regularly. Overlapping enrollments need to be corrected before any state reports can be run. The Enrollment Exclusion and Duplicate Entry tabs should also be reviewed.
