Prior year grade enrollment records can be added to the system without impacting state reporting, since these records have previously been reported to the state.
Current year grade enrollment records should be modified ONLY during the school year when the student’s current class schedule is being maintained. This process does NOT drop the student’s classes, nor enter end dates for class enrollment records.
Changes to current year grade enrollment records may be needed when:
- the student is advancing to another grade during the school year without a change in class schedule, or
- the student’s existing grade record is ending with a valid state exit reason and a new grade record needs to be created, or
- A data entry error was made.
Edit the current year grade enrollment record and click Modify Grade Record to close the current grade record and add a new grade record.
Users also have the option to Transfer students while editing the current year grade enrollment record, which opens the Transfer page.
At the end of the school year, use the Grade Advancement process (District > Grade Advancement) for ALL students not being transferred out of the district, whether the student are being retained or advanced. This process automatically drops the students’ current classes and inserts end dates for the class enrollment records.
