This lesson covers available options for Accepted and Rejected Online Registration applications, as well as explains the acceptance logic for applications.
Accepted & Rejected Applications
- Go to Registration.
- Select Online Applications.
- Users can Review accepted applications, and View the Household Information.
- Users can Delete , Review , and Edit rejected applications. If users Edit a Rejected application, update the information and Submit the changes, then users can Review the Rejected application again and Accept it (if applicable).
Acceptance Logic
The acceptance logic falls into three categories (Students, Household, Guardians/Emergency
Contacts) and will vary depending on whether a match was selected in each category.
Students
- New students (no match selected from the compare field):
Create all student, household, and student contact records based upon application
information. Insert scheduling grade based upon grade indicated on application. Insert
scheduling school based upon school selected from drop down menu from acceptance
screen. Create enrollment record based upon the grade indicated on the application
and the school selected from the drop down menu from the acceptance screen. Enable
the pre-registered check flag if the enrollment date selected from the acceptance
screen > today. - Previously transferred students (match selected from the compare field has a closed
previous enrollment record, e.g. transfer):
Present a message when user clicks Accept: "You are about to overwrite existing data.
Are you sure you want to continue?" When Yes is clicked, update all student,
household, and student contact information based upon the selected fields within the
application (fields that differ between the application and the eSD system when the
check box is enabled).
Create a new school and grade level enrollment record. Create the school enrollment
record based on the school selected from the acceptance screen. Insert scheduling
grade based upon grade indicated on application. Insert scheduling school based upon
school selected from drop down menu from acceptance screen. Enable the preregistered check flag if the enrollment date selected from the acceptance screen > today. - Existing students (match selected from the compare field has an open enrollment
record):
If the user selects a student from the match list that has an open enrollment record,
display message prompt "Warning! The selected student has active enrollment record.
The student's scheduling school and scheduling grade will be updated based on the
selected enrollment information. Do you wish to proceed?"
If Yes is selected, when user clicks Accept, update the student’s Scheduling School and
Scheduling Grade using the application’s selected School and Grade, and update any
accepted fields on the Student Information tab (fields that differ between the
application and the eSD system, when the check box is enabled). The student’s current
enrollment records, including Enrollment Date and Anticipated Enrollment Date, are
NOT updated.
If No is selected, when user clicks Accept, only update any accepted fields on the
Student Information tab (fields that differ between the application and the eSD system,
when the check box is enabled). The student’s current enrollment records, including
current Scheduling School and Scheduling Grade, are NOT updated.
Households
- New households (no match selected from the compare field):
Create new household record using the form data. Insert "Register Date" based upon
the date the form is accepted. - Existing households (match selected from the compare field):
Update the household based upon the selected fields within the application (fields that
differ between the application and the eSD system, when the check box is enabled).
Associate the students and student contacts defined within the application to the
existing household.
Guardians/Emergency Contacts
- New Guardians/Emergency Contacts (no match selected from the compare field):
Create a new record using the form data for the corresponding student(s) based on the
type (Guardian or Emergency Contact). Create a single contact record for all students
with a defined relationship to that contact. - Existing Guardians/Emergency Contacts (match selected from the compare field):
Create association with existing contact record and household and any new student.- If the user has selected fields to overwrite with form data, and the contact record is
associated ONLY with the household defined for the form, update the contact
record. - If user has selected fields to overwrite with form data, and the contact record is
associated with other households, present message "This contact is associated with
other households. Are you sure that you want to update this information?".
