The Field Trip Wizard allows the user to create and edit a field trip, assign and drop students from a field trip, and take attendance for the field trip.
Required Permissions:
Menu Level: Student and Multi Tab Controls
Module Level: Attendance - Override Event and Field Trip Event and Special Permissions - Field Trip Admin
Where to Start
- Go to Student.
- Select Attendance.
- Choose Field Trip Wizard.
Create a FIeld Trip
- Select the Add icon (+) to create a new field trip.
- Enter all required information (indicated by the red asterisk *):
- Destination - where is the Field Trip taking place
- Relevance - what is the purpose behind the trip
- Estimated Departure - what is the estimated time of leaving for the trip
- Estimated Return - what is the estimated time of returning for the trip
- Proposed by - who initiated the trip
- Staff Assigned to Field Trip - which staff members are attending the trip
- Select Save.
View, Edit, or Delete Field Trips
Go to the Field Trip Wizard (see the Where to Start section above):
- Select the View icon to view the details of an existing field trip. From the View Field Trips window, users can access an Allergy Report, students’ Emergency Contacts, and open the Master Field Trip Attendance roster.
- After the field trip has been created, users can Edit the field trip to indicate if the event has been approved, and by whom. Users can also edit other fields as needed. The Approved and Approved by fields are only available when editing an existing Field Trip.
- Select the Red X to Delete a Field Trip.
Assign Students to Field Trips
After the field trip has been created, users can assign students to it.
- Check the box to the left of the field trip.
- Select Next.
- Use the filters to narrow the list of students that are to be assigned to the field trip. Select Search to view results.
- Select an individual student name to move them from Source Students to Selected Students. Select All to move all student names in the direction indicated by the arrows. You can also move a student back in the same way.
- Students in red have already been assigned to the Field Trip or have a conflicting event.
- Select Next.
- Select Update to assign the selected students to the specified attendance event. Once the students have been assigned, they will appear in the "Following Students have been assigned" section.
- Once the students have been assigned, select Start Over to return to the Field Trip List tab.
Drop Assigned Students from Field Trips
- Check the box to the left of the field trip.
- Select the Take Attendance icon.
- Check any students that need to be dropped from the field trip.
- Select Drop.
Taking Field Trip Attendance
- Check the box to the left of the field trip.
- Select the Take Attendance icon.
- If a student is absent, select the No Show radio button. Students are considered present by default.
- If all students are present, select the Present checkbox to mark all students as Present. If all students are absent, select the Present checkbox again to deselect it and mark all students as No Show.
- Click Save when attendance is complete.
Select the Print icon to print the saved attendance roster to take on the field trip. It can be used to ensure that all students are present for the return trip. If Excel is preferred, select the Excel icon to export the roster to Excel.
