Students are assigned Attendance Events to handle various attendance scenarios, such as long-term absences, field trips, and students leaving school midday to return before the end of the day (check-outs and check-ins). When a student is assigned an Attendance Event, the Reason assigned to the Attendance Event will drive the student’s Attendance Status (Absent or Tardy, Excused or Unexcused) for the Bell-Time Period(s) and/or Day(s) included in the event. However, only Full Day Attendance Events will affect the student’s Attendance Status for Minute Block Periods, since Minute Block Periods are treated as periods outside the school day.
The Override Event permission allows a teacher to unlock and override attendance events that were entered by Attendance Super Users for students on the teacher’s roster. If teachers are given the ability to override events, changes to period records are independent from the event. The period record becomes disconnected from the event. As a result, updates to the event will not update the period record, and period updates will not update the event record.
Required Permissions: Menu Level: Student and Multi Tab Controls - Module Level: Attendance (override event) and Special Permissions (superuser, if needed)
Full Day Events
If the Start and End Times of the Attendance Event encompass a full day or multiple days, the student should have a Full Day Event. The Attendance Status (Period and Daily) of the student assigned to the event will be driven by the Reason associated with the Attendance Event.
Example: Jane Doe is assigned to a Full Day Attendance Event and the Reason assigned to the Event is “Field Trip.” This Reason has been set as Excused. Since this is a Full Day Event, she is marked Absent Excused (AE) for all Bell-Time Periods and all Minute Block Periods, with the reason “Field Trip.” Her Daily Attendance Status will also be Absent Excused (AE) with the reason “Field Trip.”
To find the settings for each Attendance Reason, go to System > Attendance > Attendance Reasons.
Late Arrival Events
If a student has a Late Arrival Event, that student’s Daily Attendance Status will be Tardy Excused (TE) or Tardy Unexcused (TU), based on the Reason assigned to the Event. If no reason is chosen, the student’s Daily Attendance Status will be Tardy Unknown (T*). Bell-Time Periods that were missed in their entirety will get a Period Attendance Status of Absent. For the Bell-Time Period during which the Event ends, the student’s Period Attendance Status will be Tardy (TE, TU, or T*, based on the Reason assigned to the Event) with a null arrival time. That period’s teacher must enter the student’s arrival time in order to save the attendance or, if the student never arrives, change the student’s attendance to Absent.
Example: Katniss Everdeen has been assigned to a Late Arrival Event with the Reason “Dr. Appointment (Excused)” that has an Arrival Time of 10:15. Period 4 started at 10:03. Her Period Attendance Status for Periods 1-3 will be listed as Absent Excused (AE). Her Period 4 Attendance Status will be listed as Tardy Excused (TE) with a blank arrival time. Katniss’ Period 4 teacher must enter her class arrival time in order to save the attendance or, if she does not come to class, change her status to Absent. Katniss’ Attendance Status for Minute Block Periods will be assigned by her teachers, since Minute Block Periods do not have defined Start/End Times. Katniss’ Daily Attendance Status will be Tardy Excused (TE) with the Reason “Dr. Appointment (Excused).”
Important: Do not assign a Daily Present reason to a Late Arrival Event. This creates a conflict in logic.
Early Dismissal Events
For an Early Dismissal event, only Bell-Time Periods that were missed in their entirety will be assigned a Period Attendance Status of Absent. For the Bell-Time Period during which the Event begins, the student’s Period Attendance Status will be Dismissed (DE, DU, or D*, based on the Reason assigned to the Event) with a null departure time. That period’s teacher must enter the student’s departure time in order to save the attendance.
Example: Juliet Capulet has been assigned to an Early Dismissal Event with the Reason “Dr. Appointment (Excused)” that has a Start Time of 10:15. Period 4 runs from 10:03 to 10:46. Juliet’s Period 4 attendance status will be Dismissed (DE), with a blank departure time. Her teacher must enter her departure time in order to save the attendance. Periods 5 through the end of the school day will be listed as Absent Excused (AE). Juliet’s Attendance Status for Minute Block Periods will be assigned by her teachers, since Minute Block periods do not have defined Start/End Times. Juliet’s Daily Attendance Status will be determined by the Daily Closeout Defaults.
Mid Day Events
When a student leaves school during the day and returns to school before the end of the day, this is considered a Mid Day Event. Bell-Time Periods missed in their entirety will be assigned a Period Attendance Status of Absent. The student’s Daily Attendance Status will be determined by the reason assigned to the Mid-Day Event and the Daily Closeout Defaults.
Often, an Early Dismissal has already been recorded for the student. Upon the student’s return, access their Attendance Report and edit their Early Dismissal event to change it to a Mid Day Event. When the Mid Day option is selected, the exact time the student returned to school can be entered.
Example: Hazel Lancaster has been assigned a Mid Day Event with the Reason Field Trip (Excused) that has a Start Time of 8:15 (during Period 1) and an End Time of 2:15 (during period 8). Hazel’s Period 1 and Period 8 attendance statuses will be Dismissed (DE) and Tardy (TE) respectively, with blank departure/arrival times. Her departure/arrival times must be entered by those teachers in order to save their attendance. Periods 2 through 7 will be listed as Absent Excused (AE). Hazel’s Attendance Status for Minute Block periods will be assigned by her teachers, since Minute Block periods do not have defined Start/End Times. If the Field Trip has also been flagged as Daily Present, Hazel’s Daily Attendance Status will be Present (DP). Otherwise, her Daily Attendance Status will be determined by the Daily Closeout Defaults.
Midday Events can be created with a Start Time equal to or later than the school’s Start Time. When selecting multiple dates for Midday Events, the event is applied to each individual day in the specified range.
