In order for the Attendance Module to function correctly, it is essential that the school calendar be accurately maintained. The following information must always be kept up to date:
- Start and End Dates of the school year
- Marking Period Dates
- Semester Dates
- Day Codes and Learning Codes
- Extraordinary Conditions (Emergency Closings, Snow Days, etc.)
- Non-Attendance Days
Required Permissions: Menu Level: District > Calendar Module Level: Calendar (Add, Edit, Delete) and Staff Type (under System > Staff Type)
Important
When school has been closed for Extraordinary Conditions, the Day Codes may need regeneration before attendance is taken. For more information, see the Emergency School Closings and Day Codes help documentation.
A Non-Attendance Period Event should be set up before the date of the event to ensure the accurate capture of attendance records.
Non-Attendance Period Events are abbreviated as NAP on the Permanent Student Attendance Record.
Where to Start
- Go to District.
- Select Calendar.
Entering a Non-Attendance Period
- Select the Month/Year.
- Select Search.
- Select the Date the event will occur - this will open a new calendar event window.
- For Type, select Non-Attendance Period.
- Enter the name of the Event.
- Choose an End Date.
- Mark Show on Parent Portal and/or Show on Student Portal (if applicable) - this setting determines whether or not the event shows on the calendar that is displayed on the portal.
- Select all applicable Grades and Periods. This option does not appear for all event types.
- Use the checkboxes to determine if this event should be applied at the District Level or School Level. If choosing School Level, select which schools the event applies to.
- Select Save.
Validation exists within the district Calendar that will prevent users from adding Superintendent’s Conference Days before the SA129 Start Date.
Marking Period Calendar Events
The Marking Period Calendar Events, with their associated Grade Entry Windows, are copied forward during School Setup. Do not delete the Marking Period Events, as this action will delete any Average Formulas (both building-level and course-level), Course Weights, Marking Period Weights and Assessment Weights that reference them. Instead, edit the dates for the Marking Period Events and Grade Entry Windows as needed for the new academic year.
